This policy explains how ZeaData collects, uses, and protects information about you and your organisation when you use our enterprise data intelligence platform.

1. Information We Collect

We collect information you provide directly when you register for an account, book a demo, contact our team, or use the ZeaData platform. This includes:

•Account information: Name, email address, job title, company name, and password.

•Usage data: Queries executed, features accessed, dashboard configurations, workflow definitions, and session activity within the platform.

•Communications: Messages sent to our support or sales teams, demo request forms, and feedback submissions.

•Technical data: IP address, browser type, operating system, device identifiers, and log data generated by your interaction with our services.

•Payment information: Billing address and payment method details processed via our PCI-compliant payment processors. We do not store full card numbers on our systems.

2. How We Use Your Information

ZeaData uses collected information to:

•Provision, operate, and maintain your access to the platform.

•Process transactions and send billing-related communications.

•Respond to support requests, questions, and feedback.

•Send product updates, security notices, and administrative messages.

•Analyse usage patterns to improve platform performance, reliability, and feature development.

•Enforce our Terms of Service and comply with legal obligations.

•Detect and prevent fraudulent, abusive, or illegal activity.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

3. Data Processed on Your Behalf

When you connect your databases and data sources to ZeaData, we act as a data processor on your behalf. The data residing in your connected sources remains under your control. ZeaData:

•Accesses your data solely to provide the services you have configured.

•Does not use your organizational data to train general-purpose AI models.

•Processes queries and metadata only as directed by your users and workflows.

•Applies the same security controls described in our Security documentation to all data in transit and at rest within the platform.

You are responsible for ensuring you have the appropriate rights and consents to connect and process data through ZeaData.

4. Data Sharing and Disclosure

We may share your information in the following limited circumstances:

•Service providers: Trusted third-party vendors who assist in operating the platform (cloud infrastructure, email delivery, payment processing, analytics). These parties are contractually bound to handle data only as instructed.

•Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the same privacy protections.

•Legal requirements: When required by law, regulation, court order, or to protect the rights, property, or safety of ZeaData, our users, or the public.

•Consent: In any other circumstance with your explicit consent.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Upon account termination:

•Account and profile data is deleted within 30 days.

•Query history and analytics data may be retained in anonymised form for up to 12 months for product improvement purposes.

•Backup copies may persist for up to 90 days before being purged from our systems.

6. Security

ZeaData employs industry-standard security measures including TLS 1.3 encryption for all data in transit, AES-256 encryption for data at rest, role-based access controls, multi-factor authentication, and continuous security monitoring. We conduct regular penetration tests and maintain SOC 2-aligned security practices.

Despite these measures, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to promptly notifying affected users and regulators in the event of a confirmed breach.

7. Cookies and Tracking

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

•Access: Request a copy of the personal data we hold about you.

•Correction: Request correction of inaccurate or incomplete data.

•Deletion: Request deletion of your personal data (subject to legal retention requirements).

•Portability: Receive your data in a structured, machine-readable format.

•Objection / Restriction: Object to or request restriction of certain processing activities.

•Withdraw consent: Where processing is based on consent, withdraw it at any time.

ZeaData is headquartered in the United States. If you are located outside the US, your information may be transferred to and processed in the US or other countries where our service providers operate. We rely on appropriate safeguards — including Standard Contractual Clauses for transfers from the EEA and UK — to ensure your data receives an adequate level of protection.

10. Children's Privacy

ZeaData is an enterprise platform intended for use by organisations and their authorised employees. We do not knowingly collect personal information from individuals under 16 years of age. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and, where appropriate, sending an email notification. Your continued use of ZeaData after changes take effect constitutes acceptance of the revised policy.
